What is Apollo?

Apollo is an all-in-one B2B sales platform. It pairs a large contact and company database with the tools to act on it: email sequencing, a dialer, inbox and LinkedIn steps, deal tracking, and analytics, all in one place. Apollo groups this into four jobs: outbound, inbound, data enrichment, and deal execution. It has also recently added website visitor identification, so the platform now reaches from spotting an account on your site all the way to a booked deal. Most teams meet it as a database first, then realize the sequencing and deal tools are built in, so they can run a whole motion without buying four more tools.

That last part is the real pitch. A small sales team can prospect, enrich, sequence, dial, and track deals without stitching together a stack. You trade some depth at each step for one platform that covers the whole motion, and for a lot of teams that is the right trade.

SEC.02THE HONEST TAKE

The bad rap, and what we actually think.

You will hear Apollo knocked in GTM engineering circles, usually on data accuracy or for being the cheap all-in-one. Here is our honest read: most of that is a fit mismatch, not a failing. The people knocking it are comparing Apollo to a custom, multi-provider enrichment waterfall they built and maintain themselves. That is a different job for a different kind of team. On data quality, no provider is perfect, and most of the big names oversell what they actually have. In our own work Apollo holds up as well as any of them, and on enterprise accounts we often get the best results of the bunch. Judge it against what it is actually for, one platform that lets a team run outbound without building a data pipeline, and it does the job.

The Detailed take We only partner with tools we would put in front of a client.

We are an Apollo Certified Partner, and we would not partner with a platform we did not think earns its place in the market. We use Apollo as one of the contact databases we lean on, and as an enrichment source we call by API inside the systems we build. For some clients that means we configure Apollo to fit how their team already works. For others it means Apollo is one source feeding a custom pipeline we build around them. Both are real work, and the right call depends on the client, not on which tool is in fashion.

SEC.03IN PRACTICE

How we actually use it.

When Apollo is the right layer, we treat it as a source, not the system. We pull companies and contacts through the API, then run them through our own pipeline to filter, enrich, dedupe against the CRM, and standardize before anything is sent. Apollo is one leg of that, not the whole thing. It sits alongside the other data providers and the orchestration and validation layers we run, so a client gets Apollo's coverage without inheriting the parts of the all-in-one they do not need.

For a team that wants to run everything in one place, the opposite is true and that is fine. Apollo in-app is a clean way to prospect and send without a build, and we will help set it up that way. Our job is to tell a client which of those two they actually are, then build it.

Pro tip

Do not send straight off a raw database export. The value is not in pulling a list, it is in what happens between the pull and the send: relevance filtering, enrichment, and validation against your suppression and your CRM. Apollo gives you the raw material and a clean API to get it. Wire that into a pipeline and the raw material becomes a list worth sending. The pull is the easy part. The pipeline is the work.

SEC.04PRICING

The seat price is not the story. The credit pool is.

Apollo prices per seat, and every plan comes with a pool of credits. Emails, phone numbers, enrichment, and dialer minutes all draw from that same balance. Comparing seat prices is the easy part. What you spend credits on is what decides the real cost, so it pays to know the rate on each action before you plan a run.

What each action costs you

  • Email: 1 credit. Verified addresses only, so an unverified result does not draw down the pool.
  • Phone number: 8 credits. Eight times an email. This is the line that empties a balance faster than teams expect.
  • Enrichment: 1 to 8 credits depending on what you ask for. Not a flat rate, which is easy to miss when you plan a run.
  • AI research: 1 credit per run, and a run is per record per column. Ten contacts across three columns is thirty runs, not three.
  • US dialer: 2 credits per minute. Calling spends from the same pool as data.
  • Credits do not roll over. Whatever is unused expires at the end of the billing cycle, so the plan you pick should match a normal month, not your busiest one.
  • Bounced emails come back. Send from inside Apollo and a bounce within 30 days of the reveal is refunded on the next cycle. Phone numbers are not refunded.

Per seat, billed annually (about 20 percent off month to month: Basic $59, Professional $99, Organization $149). Organization needs a minimum of three seats. Credits are granted per seat and released monthly, so Professional is about 4,000 a month and Organization about 6,000. Apollo lists this as introductory pricing and says it may change. Verified August 2026.

Pro tip

Size the pool, not the seats. Work out your real monthly run before you pick a plan. A phone number costs eight times an email, and AI research bills per record per column, so two hundred contacts with mobile numbers and three research columns is a completely different number from the same two hundred with emails only. Gate the expensive reveals behind qualification so credits land on accounts you have already decided are worth it. The seat price is fixed. The pool is the part you control.

  • A clean, documented API, so it works well as a callable data source inside a larger system
  • Fast to get a team sending without a heavy build

Cons

  • Data accuracy is good, not best in class at every field. Validate before you send
  • Everything draws from one pool, and a phone number costs eight times an email, so one mobile-heavy run can eat a month of allowance
  • Depth at each step is traded for breadth. A specialist tool will out-perform it on any single job
  • The all-in-one design fights you if you only want the data and your own stack for the rest
  • Not the fit for a team running a custom enrichment engine, which Apollo itself will tell you

Start free and test coverage on your ICP

Create an account and run searches against your real target market before you pay. Coverage varies a lot by segment, so the only test that matters is how well Apollo covers your specific ICP, not a general review.

STEP 02
Pick the plan that matches your motion, not the biggest one

If you mostly need email and sequencing, Basic or Professional is plenty. Only move up for a limit you actually hit, usually mobile numbers or exports, never for a feature you will not touch.

STEP 03
Validate the data before you send

Apollo gets you the list. Run it through email validation and your own suppression before a single send, so a data miss never burns a warmed inbox. This one step protects your deliverability more than any copy tweak.

STEP 04
Decide: run it in-app, or wire it into a system

A small team can run the whole motion inside Apollo. A team that wants enrichment, orchestration, and multi-tool sending treats Apollo as one API-called source in a larger pipeline. That second path is what we build.
